Privacy Policy

1. Introduction & Scope

BreedTracker ("we," "us," or "our") operates the BreedTracker web application. This Privacy Policy describes how we collect, use, share, and protect your personal information when you use our Service. This policy applies to all users of the Service.

2. Information We Collect

We collect the following categories of information:

Account Information

  • Email address
  • Password (stored as a bcrypt hash; we never store plain-text passwords)
  • Display name

Organization Data

  • Kennel or business name
  • Time zone preference
  • Subscription plan

Breeding Program Data

  • Dog profiles (name, breed, registration numbers, dates of birth, etc.)
  • Heat cycles and progesterone test results
  • Breeding records
  • Litter and puppy records, including weight tracking
  • Health records and veterinary visit logs

Customer & Buyer Data

  • Customer names and contact information
  • Breed and puppy preferences
  • Deposit and waitlist records

Financial Records

  • Invoice records (amounts, dates, descriptions)
  • Payment records you manually enter

Note: BreedTracker does not process payments between breeders and buyers. Financial records in the Service are manually entered by you for your own record-keeping.

Photos

You may upload photos (JPEG, PNG, WebP, or GIF, up to 5 MB each) of dogs, puppies, and related content.

Subscription Billing Data

We store your Stripe customer ID and subscription ID to manage your subscription. Payment card details are handled entirely by Stripe and are never stored on our servers.

3. How We Collect Information

  • Directly from you: When you register, enter data, upload photos, or contact support.
  • Automatically: Session cookies for authentication and server logs (IP address, browser type, timestamps) for security and debugging.
  • From Stripe: Subscription status and billing events via secure webhooks.

4. How We Use Your Information

We use your information to:

  • Operate and provide the Service, including storing and displaying your breeding program data
  • Authenticate your identity and secure your account
  • Process subscription billing through Stripe
  • Send transactional notifications (password resets, billing confirmations)
  • Provide customer support when you contact us

What we do NOT do with your data:

  • We do not sell your personal information to anyone
  • We do not use your data for advertising or ad targeting
  • We do not send marketing emails or newsletters
  • We do not run analytics or tracking software on the Service
  • We do not use your data to train AI or machine learning models
  • We do not share your data with data brokers

5. Information Sharing & Third Parties

We share your information only with the following service providers, each of which is necessary to operate the Service:

  • Supabase: Database hosting, user authentication, and file storage. Your breeding program data is stored in Supabase-managed PostgreSQL databases.
  • Stripe: Subscription payment processing only. We share your email and subscription plan with Stripe. No breeding program data is shared with Stripe.
  • Vercel: Application hosting. Vercel processes web requests and maintains server logs.

We may also disclose your information if required to do so by law, such as in response to a subpoena, court order, or other legal process.

6. Data Storage & Security

Your data is stored in PostgreSQL databases with Row-Level Security (RLS) policies that isolate each organization's data. We use the following security measures:

  • All data transmitted over HTTPS (TLS encryption in transit)
  • Database encryption at rest
  • Passwords hashed with bcrypt
  • Row-Level Security ensuring you can only access your own organization's data

Photos are stored in private, access-controlled storage. Only authenticated members of your organization can access your photos through time-limited signed URLs.

7. Data Retention

  • Active accounts: Your data is retained for the duration of your account.
  • Deleted records: Records you delete within the application are soft-deleted and may be retained for up to 5 years to support breed registry compliance (such as AKC record-keeping requirements).
  • Account deletion: To delete your entire account and all associated data, contact us at support@breedtracker.com. Upon account deletion, photos are permanently removed from storage.
  • Subscription cancellation: Cancelling your Pro subscription does not delete your data. Your account reverts to the Free plan and your data remains accessible.

8. Cookies & Tracking

BreedTracker uses only essential cookies required for the Service to function:

  • Authentication session cookie: Maintains your logged-in session.
  • Theme preference: Remembers your light/dark mode selection.

We do not use analytics cookies, marketing cookies, tracking pixels, browser fingerprinting, or any third-party tracking technology. Because we only use essential cookies, no cookie consent banner is required.

9. Your Rights

You have the following rights regarding your personal information:

  • Access: View your data at any time through the application.
  • Correction: Edit and correct your data directly within the application.
  • Export: Download your data using the PDF and CSV export features.
  • Deletion: Request complete account and data deletion by contacting support.
  • Portability: Export your data in standard formats for use with other services.
  • Objection: Object to specific processing of your data by contacting support.

We will respond to rights requests within 30 days.

10. Children's Privacy

The Service is not intended for use by anyone under 13 years of age. We do not knowingly collect personal information from children under 13. If we discover that we have collected information from a child under 13, we will delete it promptly.

11. California Privacy Rights (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA):

  • Right to know: You may request details about the categories and specific pieces of personal information we have collected about you.
  • Right to delete: You may request deletion of your personal information.
  • Right to opt-out of sale: We do not sell personal information, so no opt-out is necessary.
  • Non-discrimination: We will not discriminate against you for exercising your privacy rights.

12. Changes to This Policy

We may update this Privacy Policy from time to time. For material changes, we will notify you via email or in-app notification before the changes take effect. Your continued use of the Service after changes become effective constitutes acceptance of the updated policy.
