Privacy Policy

1. Introduction & Scope

BreedTracker ("we," "us," or "our") operates the BreedTracker web application. This Privacy Policy describes how we collect, use, share, and protect your personal information when you use our Service. This policy applies to all users of the Service.

2. Information We Collect

We collect the following categories of information:

Account Information

  • Email address
  • Password for email sign-in (stored as a hash; we never store plain-text passwords)
  • Display name
  • When you choose Google or Facebook sign-in: the provider's account identifier, email address, name, and profile image when provided

Google and Facebook authenticate you through their own services. We do not receive your Google or Facebook password. We use the account information they return to sign you in and maintain your BreedTracker account. Facebook sign-in requests your basic profile and email address; it does not request your friends list or permission to post for you.

Organization Data

  • Kennel or business name
  • Time zone preference
  • Subscription plan

Breeding Program Data

  • Dog profiles (name, breed, registration numbers, dates of birth, etc.)
  • Heat cycles and progesterone test results
  • Breeding records
  • Litter and puppy records, including weight tracking
  • Health records and veterinary visit logs

Customer & Buyer Data

  • Customer names and contact information
  • Breed and puppy preferences
  • Deposit and waitlist records

Financial Records

  • Invoice records (amounts, dates, descriptions)
  • Payment records you enter and payment status received from Stripe when online payments are used

When online payments are available, Stripe processes the payment. BreedTracker stores transaction identifiers, amounts, status, and payment or billing metadata returned by Stripe. We do not store full payment card numbers or card security codes.

Photos

You may upload photos (JPEG, PNG, WebP, or GIF, up to 5 MB each) of dogs, puppies, and related content.

Subscription Billing Data

We store your Stripe customer ID, subscription ID, and related billing metadata to manage your subscription. Stripe handles payment card entry and processing.

3. How We Collect Information

  • Directly from you: When you register, enter data, upload photos, or contact support.
  • Automatically: Authentication and preference storage, technical logs, and usage information such as pages visited, interactions, and how you reached BreedTracker.
  • From sign-in providers: Account information from Google or Facebook when you choose that sign-in method.
  • From Stripe: Subscription status, payment status, and billing events.

4. How We Use Your Information

We use your information to:

  • Operate and provide the Service, including storing and displaying your breeding program data
  • Authenticate your identity and secure your account
  • Process subscription billing through Stripe
  • Send transactional notifications (password resets, billing confirmations)
  • Provide customer support when you contact us
  • Understand how people find and use BreedTracker, measure sign-ups, and improve the Service
  • Investigate errors, performance issues, and reliability problems

What we do NOT do with your data:

  • We do not sell your personal information to anyone
  • We do not share your kennel records or buyer information with advertising platforms
  • We do not send marketing emails or newsletters
  • We do not use your data to train AI or machine learning models
  • We do not share your data with data brokers

5. Information Sharing & Third Parties

We use the following service providers to operate, secure, and improve the Service. Some receive information only when you use the relevant feature:

  • Supabase: Database hosting, user authentication, and file storage. Your breeding program data is stored in Supabase-managed PostgreSQL databases.
  • Google and Meta (Facebook): Optional account authentication. Their services receive information needed to process your chosen sign-in request and are governed by their own privacy policies.
  • Meta ad measurement: Separately from Facebook sign-in, optional sharing of account-owner conversion events and matching information, described below.
  • Stripe: Subscription billing and online payment processing where used.
  • Vercel: Application hosting. Vercel processes web requests and maintains server logs.
  • Cloudflare Turnstile: Bot protection on account forms.
  • PostHog and Google Analytics: Product usage and acquisition measurement. PostHog can record page interactions and session replays with typed inputs masked.
  • Sentry: Error reporting and performance monitoring, with filtering intended to exclude sensitive account information.
  • Resend and BoldSign: Transactional email delivery and electronic signatures when those features are used.

We may also disclose your information if required to do so by law, such as in response to a subpoena, court order, or other legal process.

Facebook ad measurement

Facebook ad measurement is enabled by default under this privacy policy. Our servers share confirmed account sign-up and subscription events with Meta to measure our ads. Matching information can include a hashed version of the account owner's email address, Facebook ad-click or browser identifiers that are available, and browser information. Hashing transforms the email before sending; Meta can still use it to match an account. We do not include kennel records or buyer information, and we do not install a Meta browser pixel.

This measurement is separate from Facebook sign-in and existing product analytics. It is recorded as enabled under this privacy notice, not as an affirmative consent choice. We honor an existing opt-out and Global Privacy Control or Do Not Track browser signals. Public campaign labels and a Google Analytics client identifier, when available, support our separate acquisition and product analytics.

Use the ad measurement controls on this page to opt out or change your preference. We remember the browser choice for up to 90 days and use browser matching identifiers for up to 30 days. Private account matching data may be retained for up to 90 days, and matching data for an individual conversion for up to 7 days. We also save an authenticated account owner's preference to their account; an opt-out stays in force until they change it. Declining clears stored matching data and stops pending or future Meta conversion delivery; it cannot recall information already sent. A later allowance does not send conversions previously suppressed. If your browser blocks storage or a save fails, the controls explain what was saved and let you retry. Changing the preference does not affect sign-up or access to BreedTracker.

6. Data Storage & Security

Your data is stored in PostgreSQL databases with Row-Level Security (RLS) policies that isolate each organization's data. We use the following security measures:

  • All data transmitted over HTTPS (TLS encryption in transit)
  • Database encryption at rest
  • Passwords hashed with bcrypt
  • Row-Level Security ensuring you can only access your own organization's data

Access to stored files is controlled by the Service. Content you choose to publish or share through a litter page, buyer portal, invoice, or contract may be available to its intended recipients or visitors to the public page.

7. Data Retention

  • Active accounts: Your data is retained for the duration of your account.
  • Deleted records: Records you delete within the application are soft-deleted and may be retained for up to 5 years to support breed registry compliance (such as AKC record-keeping requirements).
  • Account deletion: To delete your entire account and all associated data, contact us at support@breedtracker.com. Upon account deletion, photos are permanently removed from storage.
  • Google or Facebook sign-in data: You can request deletion of your BreedTracker account and the associated sign-in information through the same support address. Include the email address used for your BreedTracker account so we can verify and process your request.
  • Subscription cancellation: Cancelling your Pro subscription does not delete your data. Your account reverts to the Free plan and your data remains accessible.

8. Cookies & Tracking

BreedTracker uses cookies and similar browser storage for the following purposes:

  • Authentication session cookie: Maintains your logged-in session.
  • Theme preference: Remembers your light/dark mode selection.
  • Usage and acquisition measurement: Helps connect visits and interactions, remember how you found BreedTracker, and measure sign-ups and product use.

You can manage cookies and browser storage through your browser settings. Blocking or clearing authentication storage can sign you out or prevent sign-in from working.

9. Your Rights

You have the following rights regarding your personal information:

  • Access: View your data at any time through the application.
  • Correction: Edit and correct your data directly within the application.
  • Export: Download your data using the PDF and CSV export features.
  • Deletion: Request complete account and data deletion by contacting support.
  • Portability: Export your data in standard formats for use with other services.
  • Objection: Object to specific processing of your data by contacting support.

We will respond to rights requests within 30 days.

10. Children's Privacy

The Service is not intended for use by anyone under 13 years of age. We do not knowingly collect personal information from children under 13. If we discover that we have collected information from a child under 13, we will delete it promptly.

11. California Privacy Rights (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA):

  • Right to know: You may request details about the categories and specific pieces of personal information we have collected about you.
  • Right to delete: You may request deletion of your personal information.
  • Ad measurement choice: You can decline optional sharing with Meta or withdraw a previous choice using the ad measurement controls on this page.
  • Non-discrimination: We will not discriminate against you for exercising your privacy rights.

12. Changes to This Policy

We may update this Privacy Policy from time to time. For material changes, we will notify you via email or in-app notification before the changes take effect. Your continued use of the Service after changes become effective constitutes acceptance of the updated policy.
